Challenge

In a recent content migration project with Debeka, a German insurance company, several issues with the existing file storage systems were identified. There was no unified storage system for the headquarters, branch offices, and field agents, leading to distributed personal storage across various devices and duplicate content storage. Content was often stored on local devices without backup, and there was no possibility for collaboration or full-text search. Finding the latest version of documents was challenging. Additionally, Microsoft 365 licenses were not being fully utilized, exacerbating the inefficiencies in content management.

Solution

The introduction of Microsoft SharePoint Online as a document management system and OneDrive for Business for personal storage uncovered significant benefits from the Microsoft 365 Cloud solution. A seamless transition involved providing the environment, software, employee training, and crucial data migration. Departments participated in mapping source systems to SharePoint structures, with data validated using a “dry run” to detect errors early.

Over nine months, 100+ migration runs were conducted, and results were documented. OneDrive was deployed locally, and personal storage was manually migrated, followed by automated network drive migrations in a virtual desktop environment using migration-center.
